We are seeking an Administrative Assistant for a ship repair company! You will perform clerical and administrative functions in order to drive company success.
- Monday-Friday 7:30a-4:00p
Answer phone and direct calls.
Open and Distribute mail.
Various Admin tasks, as needed.
Enter OH delivery tickets/packing slips in QB as an Item Receipt.
Attach Item Receipt to PO/Req, then give to A/P.
Enter daily time in QB.
Calculate and distribute overtime for temps by Thursday.
Submit and maintain security access for all projects. Address any issues.
Create Employee badges for New Hires.
Request VOC, COC/COA from the vendor when delivery ticket/packing slip is received; ensure a
Coatings Receipt Inspection is received for all coating material.
Enter and send required EHS reports. Log NESHAPs in the required report and place a copy
in the project file.
Gather all Daily and Weekly Inspections and match them with the report (Thursday).
Scan and electronically store calibration certificates, also update Equipment Log with
Provide backup in creating Project Books.
Download and save new/updates to all Standards; NAVSEA, ASTM, NACE, SSPC, ISO.
Update Field Book. (Monthly or as needed.)
